Capability Statements That Get Government Buyers to Call You Back

Government buyers and prime contractors see dozens of vendor introductions every week. The ones they remember are usually backed by a sharp, one-page capability statement that answers their questions in under a minute. Here is how to build one that actually gets you a callback.

1. Lead with what you solve, not who you are

Open with a two- or three-sentence summary of the problem you fix for agencies or primes. Skip the company history. A contracting officer wants to know quickly whether you fit the requirement on their desk.

2. List core competencies in plain language

Pick four to six services you deliver well and can prove. Use the same words buyers use in solicitations so your statement lines up with how they search and evaluate.

  • Match your services to the right NAICS codes and list them clearly.

  • Avoid vague claims like full-service or one-stop shop.

  • Keep each competency to one short line.

3. Show past performance that builds trust

Include two or three short project snapshots: client type, scope, value range, and the result. Private-sector work counts too. If you are new to public work, highlight relevant commercial projects and any subcontracting experience.

4. Explain what makes you different

Differentiators should be specific and checkable: response time, certifications, licensed trades, local presence, safety record, or a niche skill. Three strong points beat ten generic ones.

5. Make the company data easy to find

  • UEI and CAGE code, plus your NAICS and PSC codes

  • Small business designations and certifications you actually hold

  • A named point of contact with direct phone and email

  • Your website and a clean, professional logo

6. Tailor it every time

Keep a master version, then adjust the summary and competencies for each agency, prime, or event. A statement that mirrors the buyer's mission feels like it was written for them, because it was.

Quick tip: Save it as a PDF, keep it to one page, and bring it to every outreach event, matchmaking session, and follow-up email. Then follow up within a week.
